This Privacy Policy explains how YF Accounting Ltd (“we”, “us”, “our”) collects, uses and protects your personal information when you visit yfaccounting.co.uk or use our services. We handle your information in line with the UK GDPR and the Data Protection Act 2018.
Who we are

The information we collect
- Information you give us: your name, email address, phone number and the details you provide when you complete our contact form, book a call or engage us as a client.
- Client information: the financial, tax and business records we need to provide accounting, tax, VAT, payroll and bookkeeping services, including information about your business, your employees where relevant, and identity verification documents required under anti-money laundering law.
- Information we collect automatically: limited technical data such as your IP address, browser type and the pages you view, through cookies and analytics. These operate only where you have given consent — see our Cookie Policy.
How we use your information and our lawful bases
We use your personal information to:
- respond to your enquiries and provide a quote — lawful basis: taking steps to enter into a contract, and our legitimate interests;
- provide our services and manage our relationship with you — lawful basis: performance of our contract with you;
- meet our legal and regulatory obligations, including anti-money laundering (Money Laundering Regulations 2017), tax and company law record-keeping — lawful basis: legal obligation;
- understand how visitors use our website and keep it secure — lawful basis: consent for analytics cookies, and our legitimate interests for security;
- send you relevant updates where you have asked us to or where the law allows — lawful basis: consent or legitimate interests.
Sharing your information
We never sell your data. We share it only where necessary with:
- HMRC, Companies House and other regulatory bodies, to deliver your services;
- the accounting software we use to run our practice (for example Xero and QuickBooks);
- trusted providers who help us operate our website and business, including our website host (WordPress.com / Automattic), Google (analytics and reviews), our spam-filtering provider (Akismet) and our scheduling provider (Calendly);
- professional advisers, insurers or authorities where we are legally required to do so.
All providers are required to keep your information secure and to use it only for the purposes we specify.
International transfers
Some of our providers (such as Google, Automattic and Calendly) are based outside the UK. Where your information is transferred outside the UK, we ensure it is protected by appropriate safeguards, such as the UK extension to the EU–US Data Privacy Framework or the ICO’s International Data Transfer Agreement.
How long we keep your information
We keep client records for at least six years after the end of our engagement, to meet our legal, tax and regulatory obligations. Enquiry information from people who do not become clients is kept for a shorter period and then securely deleted.
Your rights
Under UK data protection law you have the right to access the personal information we hold about you, ask us to correct inaccurate information, ask us to delete information (where we are not legally required to keep it), restrict or object to certain processing, request data portability, and withdraw consent at any time. How to complain
If you have a concern about how we handle your data, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK regulator, at ico.org.uk or on 0303 123 1113.

We take appropriate technical and organisational measures to keep your information secure, including secure cloud systems, access controls and encryption where appropriate.
